Configure funnels and steps

A funnel is the sequence of steps a sale goes through in your business. You can have several (sales, after-sales, service), each with its own steps.

The funnels your account already comes with

Before creating anything, look at what is already there. Depending on your account's KB System — the industry category Keybe assigns when creating it: automotive, health, fashion, real estate, education… — the platform provisions default funnels and steps, tailored to how that sector sells.

They are not filler examples: they carry the steps that industry actually uses, in the order they happen, with their win probability and the forms each step asks for. A dealership, for instance, comes with test drive and document file steps that would make no sense in a fashion store.

Default funnels and steps cannot be modified

The ones that come with the KB System cannot be edited or deleted. They are tied to the logic the agent and Metrics expect from that sector: changing them would break the reports and the automatic behavior. If your operation needs something different, create a funnel of your own alongside them, or ask your Keybe contact to adjust your industry's configuration.

What you can always do is add your own funnels and work with them in parallel. The header selector shows them all.

Create a funnel

  1. Create new… → Funnel.
  2. Type the Name and the Number of steps it starts with.
  3. Save. The funnel appears in the header selector and its empty steps on the board.

From the ⋮ next to the funnel selector you can Update the name or Delete the funnel.

Create or edit a step

  1. Create new… → Step (or ⋮ on a column header → Update).
  2. Name: as the team will see it (Contacted, Quote sent…).
  3. Order: the column's position on the board.
  4. Win probability: 0 to 100. Two values are special: 0 = Lost and 100 = Won; those steps close the card. The rest is used to forecast revenue.
  5. Expires after this many days: how many days a card can sit in this step before it counts as expired.
  6. Save.

A step is deleted from its ⋮ → Delete.

Few, well-defined steps

Five to seven steps with a clear entry criterion each work better than twelve ambiguous ones. If two steps do not change the win probability, they are probably one.

Steps that ask for extra information

Some steps, by name or probability, open a form when you move a card into them. See Move a SalesCard.

  • Won (100): win reason, and in some sectors amount and products.
  • Lost (0): lost reason.
  • Proposal / quote: amount and business.
  • Demo / test drive: demo date and owner.
  • Show / visit: visit type.
  • Steps with required documents (Biky Trust): upload the file before continuing.

Win and lost reasons feed the board's End reasons filter and the Metrics.
